The VIPDocs System

The objective of the VIPDocs is to help you organize, understand, control, document and systematize your personal and financial records.

Why is this so important?

Every family unit functions differently, but essentially they have to accomplish many of the same things.

One of the partners in the family will act like a “CFO”. The Chief Financial Officer in a business is charged with taking care of the finances. One person in the family will be charged with paying the bills, handling the insurance, keeping up with documents like birth certificates, passports, bank accounts and investments.

On the other hand, someone else acts like a “Vice-President of Operations.” A VP of Ops is charged with making sure the business runs smoothly. So someone in the family does the grocery shopping, handles the school issues, keeps up with the children’s health needs, plans vacations, and makes sure everyone gets to the dentist.

So how does documentation affect this?

Let’s assume you are the CFO of your family. What if you are unable to perform your “function” due to disability, illness, or death? Since you are not there, the VP of Ops must now step in and perform this function. How would they know:

  • Someone get the bills paid? Where is the check book? Which is paid on line? Where are the passwords?
  • Which investments are available, which are qualified, and who is the financial advisor?
  • When does the insurance on the house expire? When does the auto insurance need to be renewed? Who is the life insurance with, and is it whole life or term? Is there insurance available through the employer?
  • Where are the mortgage papers? Car loan documentation? HELOC loan?

 

And if you are the VP of Ops and unable to perform your duties how would:

  • How to get in touch with the children’s doctor? When are the immunizations due? When was the last check up?
  • Where is the location of the passports?
  • At some time may you need a copy of a birth certificate, marriage license, death certificate or other official document? Where are they?
  • Is there a will or trust? Where is the documents and who is the executor or trustee?
  • Is there a power of attorney? Where?

And these lists go on and on.

Most people are very intimidated with their personal and financial paperwork. Very few people have a system to handle this avalanche of paperwork.
